Terms of Service

Please review our service terms before scheduling mobile notary, remote online notarization, loan signing, or apostille services. These terms explain appointment requirements, payment policies, cancellations, document preparation, and service limitations. Last Updated: October 23, 2026

SERVICE AGREEMENT

Agreement to Our Terms

By requesting, scheduling, or purchasing services, you agree to the applicable terms and the service fees confirmed for your appointment. Service availability depends on scheduling, signer eligibility, document requirements, applicable law, and successful identity verification. Submitting an inquiry does not guarantee an appointment.

CLIENT RESPONSIBILITIES

What You Need for Your Appointment

You are responsible for providing accurate names, contact details, and appointment information; having all required documents available; presenting satisfactory identification under applicable Texas law; ensuring all required signers are present and willing to participate; arranging required witnesses unless witness services have been confirmed; confirming document requirements with the receiving party; and disclosing accessibility needs or special circumstances before the appointment. Documents should generally remain unsigned when the notary must witness the signature, though some acknowledgments may involve previously signed documents. Qualifying credible-witness identification may be available under Texas law and must be evaluated before the appointment.

NOTARIAL COMPLIANCE

Texas Notarial Requirements

Notarizations are performed in accordance with applicable Texas law. A notarization may be declined when identity cannot be satisfactorily established; a required signer is absent; the signer is unwilling or unable to communicate the necessary intent; the requested notarial act is prohibited by law; or the document or circumstances do not satisfy applicable legal requirements. Notarization does not establish the truthfulness, validity, enforceability, or legal sufficiency of a document.

FEES & PAYMENT

Service Fees & Payment Policies

You receive an itemized quote or confirmed pricing before services are performed. Fees may include Texas statutory notarization fees; mobile travel or convenience charges; evening, weekend, holiday, or after-hours charges; witness coordination or additional witness fees; printing, scanning, shipping, or document handling; remote online notarization platform and service charges; and apostille processing, courier, shipping, and government fees. Payment is due in full to secure and confirm your appointment unless alternative payment arrangements have been expressly approved by DFW Apostille & Notary Services. Remote online notarization requires payment before the session begins. Certain apostille, third-party, attorney-requested, and specialty services may require deposits or advance payment as specified in the quote. Appointments are not considered secured until the required payment is received. Additional services or fees require client authorization.

CANCELLATIONS & RESCHEDULING

Cancellation & Rescheduling Policy

Please notify the business promptly if an appointment must be canceled or rescheduled. Any applicable cancellation, travel, no-show, or rescheduling charges will be disclosed before booking or payment. Nonrefundable third-party expenses already incurred may remain payable when disclosed and agreed upon in advance.

REFUNDS

Refund Policy

Refund eligibility depends on the service, work completed, expenses incurred, and the agreed terms of the transaction. Notarial fees are distinguished from travel, administrative, platform, government, shipping, and third-party charges. Refunds are reviewed according to applicable law and the terms disclosed before payment.

REMOTE ONLINE NOTARIZATION

Remote Online Notarization Requirements

Remote online notarization is available to eligible signers worldwide, subject to Texas law, platform eligibility, identity verification, and scheduling availability. Requirements may include a compatible smartphone, tablet, or computer; a reliable internet connection; a working camera and microphone; acceptable identity documentation; successful identity verification; participation in a live audiovisual session; and electronic signing through the approved platform. The notary creates the online session and provides a secure link for identity verification and joining the live notarization. Payment is required before the session begins. Not every document or signer qualifies for remote notarization, and acceptance should be confirmed with the receiving party.

APOSTILLE & AUTHENTICATION

Apostille & Document Authentication Terms

DFW Apostille & Notary Services provides document preparation assistance, submission coordination, courier services, and apostille/authentication facilitation. Apostilles and authentications are issued by authorized government agencies, not by the notary business. You are responsible for providing accurate destination-country information and appropriate original or certified documents. Processing estimates are not guaranteed; government processing times may change; additional documentation may be required; government agencies may reject documents; shipping and courier delays may occur; and non-Hague destinations may require additional authentication or legalization. Government fees are distinct from facilitation and expedited service charges.

MOBILE NOTARY & SPECIALTY

Mobile Notary & Facility Visits

Mobile services may be provided at homes, offices, hospitals, nursing homes, assisted living facilities, correctional facilities, and other approved locations. All appointments remain subject to access restrictions, signer eligibility, and applicable facility requirements. For correctional facilities, you may need to provide the inmate's full legal name, identification number, date of birth, and facility location. Hospitals and care facilities may have additional access requirements. The notary must independently assess the signer's willingness, awareness, and ability to complete the requested notarial act.

LOAN SIGNING SERVICES

Loan Signing & Real Estate Documents

Loan signing services may include purchase, refinance, seller, HELOC, and other real estate closing documents. The notary signing agent facilitates document execution and performs authorized notarial acts, and does not provide legal advice, interpret loan terms, modify documents, or make lending decisions. Questions about interest rates, financial obligations, loan terms, or legal consequences must be directed to the lender, title company, or appropriate professional.

Their independent terms, policies, processing times, and technical requirements may apply. The business cannot guarantee uninterrupted third-party services or government processing outcomes.
